1. Define the Commercial and Technical Brief
A useful inquiry gives the manufacturer enough information to screen feasibility before discussing a final quotation. Start with the intended market, sales channel, quantity range, target launch date, product positioning, and required customization.

Existing-Model OEM or Private Label
An existing structure is retained while the project may add a logo, approved color, label, manual, accessory bundle, and private label packaging. This is usually the most direct route when speed and controlled changes are priorities.
Configured OEM
The project uses an existing platform but changes selected functions, controls, accessories, appearance, or packaging. Each change must be checked for compatibility with the approved motor, heating system, PCB, housing, and compliance route.
ODM or New-Mold Development
The project introduces a new structure, internal layout, attachment interface, airflow path, or mold. It requires a deeper engineering review, staged prototypes, tooling approval, and validation before production release.
3. Complete Engineering Feasibility Review
The manufacturer should translate the buyer brief into a product configuration that can be tested and produced consistently. The review normally covers industrial design, internal space, motor and fan matching, airflow path, heating arrangement, thermal protection, PCB logic, cable routing, material selection, assembly access, and service considerations.
At this stage, the buyer should request a written list of open points. Unresolved items may include component availability, surface-finish tolerance, attachment fit, label space, packaging dimensions, or market-specific testing. 4. Control Samples and Approvals
Samples should have a defined purpose. An appearance sample cannot automatically approve electrical performance, and a functional sample may not represent final color, packaging, or production materials.
- Reference sample: confirms the selected existing model and baseline functions.
- Appearance sample: reviews color, finish, logo position, form, and visible details.
- Functional sample: reviews motor, airflow, heat, controls, protection, and accessories.
- Packaging sample: checks artwork, dimensions, inserts, labels, manuals, and barcode information.
- Pre-production sample: represents the configuration intended for controlled mass production.

5. Freeze the Specification and Bill of Materials
Before a pilot build or bulk order, the project needs a controlled specification. This should identify the model version, approved components, material and color references, motor and heating configuration, PCB version, safety devices, cord and plug, accessories, labels, manuals, packaging, and inspection requirements.
Changes after approval should be documented. A component substitution, mold adjustment, software change, or packaging revision can affect function, safety, testing, cost, or delivery. The current approved version must be clear to purchasing, engineering, production, and quality teams.
6. Validate Components and the Production Process
Component review should focus on whether the supplied parts match the approved configuration and can be assembled repeatedly. Incoming checks may cover identification, dimensions, appearance, electrical characteristics, material records, and supplier documentation according to the component risk.
A pilot or trial build helps confirm assembly sequence, fixtures, work instructions, process checkpoints, testing methods, packaging flow, and traceability. Problems found during the trial should be recorded, corrected, and reviewed before mass production release.
7. Establish the Quality and Test Plan
Quality control should be linked to the approved product, not described only as a general factory capability. The plan may include incoming inspection, first-piece approval, process inspection, functional checks, electrical safety checks, temperature and airflow measurement, protection-function verification, aging or endurance work, appearance inspection, accessory count, and packaging review.

The color box, insert, poly bag, manual, rating label, warning label, barcode, SKU label, carton mark, and accessory list must reference the same approved product version. Artwork should not promise functions, certifications, materials, or performance that the approved product does not support.
Buyers should also confirm transport protection, carton configuration, destination labeling, and any retailer or marketplace requirements before printing production packaging.
10. Release Production and Shipment
Production should begin only after commercial terms, specifications, samples, artwork, and required documents are approved. During production, the project team should maintain version control, report material changes, track inspection results, and escalate abnormalities.
Before shipment, confirm the finished configuration, inspection status, quantity, accessories, packaging, carton information, shipping documents, and logistics route. Repeat orders should reference the previous approved version and clearly identify any requested changes.
